How to Switch from MenuSifu: A Migration Guide for Chinese Restaurants

Switching from MenuSifu comes down to four jobs: export your data while you still have access (sales reports, tax summaries, and especially gift card balances), rebuild your menu on the new system, migrate outstanding gift card balances so your customers' physical cards keep working, and run both systems in parallel for a few days before cutting over. With a browser-based POS, the whole transition takes about two weeks of calendar time, a few hours of actual work, and zero days of downtime.

This guide is based on a real migration we completed in July 2026 — including rebuilding a broken gift card export from screen photos and reconciling every balance to the cent. It covers what you can take with you, what you can't, and the traps to avoid.

What to Export from MenuSifu Before You Lose Access

The most common migration mistake is canceling first and exporting second. Once your license lapses, your data may be out of reach. Before you touch anything else, secure these four things:

Sales History and Tax Reports

Your accountant will need these for the current tax year and possibly prior ones. Export monthly and annual summaries, sales-by-category reports, and any payroll or tip reports you rely on. Historical transactions generally cannot be imported into a new POS — they stay in the old system, so exported reports are your permanent record.

Gift Card Balances — the Full List

Export the outstanding gift card list: card numbers and remaining balances. Then, whether or not the export works, photograph the on-screen gift card report as a backup. In the July 2026 migration this guide is based on, the gift card CSV export produced an unusable file — we rebuilt the complete list of 89 cards from six photos of the gift card screen, and reconciled the total to the cent: $2,156.79 across 46 cards with remaining balances.

Customer and Loyalty Data

If you run a loyalty program or keep customer phone numbers, export those lists. Portability varies — check what formats your new system can import.

Your Menu

This one doesn't need a data export: photos of your printed menu (or the PDF you last sent to the print shop) are enough for AI-based menu extraction on modern systems.

Will Your Physical Gift Cards Keep Working? (Yes — Here's How)

Gift cards are the highest-stakes part of a MenuSifu migration: they are money you already owe your customers, embodied in plastic cards you cannot recall. Handled correctly, every card keeps working. Handled badly, you find out at the register, in front of the customer.

A Gift Card Is Just a Number

The magnetic stripe encodes the card number. When swiped, card readers emit that number wrapped in Track-2 sentinel characters — a leading ; and a trailing ? (for example, ;020032?). A correct migration stores the bare number (020032) and strips the sentinels whenever a card is swiped — so the same physical card resolves whether it is swiped through a reader or typed in by hand.

Migrate Only Cards with Remaining Balances

Cards at $0 have nothing left to redeem — skip them. If a customer later reloads an old card, it can be recreated on first use. This keeps the migration list shorter and the reconciliation cleaner.

Reconcile to the Cent

The outstanding total in the old system must equal the total loaded into the new one. In our July 2026 migration: 46 cards, $2,156.79 — matching exactly. If the two numbers disagree, a card was missed, duplicated, or mistyped; find out which before cutover.

Watch for Duplicates and Test Cards

The same card can appear twice — once typed in, once swiped. Keep the record with the positive balance. Also, installers' test cards (with names like "test" or "TX1") often linger in the system with balances: flag them for a separate decision instead of blindly migrating them.

Rebuilding a Chinese Menu — the Modifiers Are the Real Work

Re-entering 150 items is tedious but simple. What makes a Chinese restaurant menu genuinely complex is the modifier logic: spice levels (mild / medium / hot / extra hot), no-scallion and no-cilantro requests, noodle toppings, lunch special combinations, family dinner tiers. When you evaluate a new POS, test exactly these flows — a system that handles a burger with cheese can still fall over on a Chongqing noodle order with three nested choices.

AI menu extraction shortens the base work dramatically: upload photos of your menu, and the items, prices, and Chinese-English names are extracted in about 30 minutes. But always review the modifiers by hand — that is where menus differ from restaurant to restaurant, and where a mistake costs you at the wok.

Contracts, Timing, and When to Cancel

MenuSifu's pricing and contract terms are not publicly listed and vary by dealer, so the only authoritative document is your own agreement. Check three things: (1) whether there is an early termination fee; (2) the auto-renewal clause — many service contracts renew automatically unless you give notice 30-90 days before the renewal date; (3) how long you keep access to your data after canceling. Time the switch so your parallel run finishes before a renewal deadline, and cancel only after the new system has handled a full week of real service.

The Cutover, in Brief

Because a browser-based POS runs on iPads and laptops you already own, it can sit literally next to MenuSifu's Windows terminals during the transition — real orders on the old system, practice orders on the new one. Yes, if balances are migrated correctly. A gift card is just a number on a magnetic stripe; the new system stores each card's number and remaining balance, and strips the ;...? sentinel characters that card readers add on swipe. The same physical card then works whether it is swiped or typed. Migrate cards with positive balances, skip $0 cards, and reconcile the total to the cent against the old system's report.

How long does switching from MenuSifu take?

Calendar time: about two weeks. Actual work: a few hours. Menu rebuild with AI extraction takes about 30 minutes plus a manual review of modifiers; gift card migration is an afternoon for a typical list of under 100 cards; then 3-7 days of running the new system in parallel while staff practices, and a cutover on a slow day. Should I cancel MenuSifu before or after the new POS is live?

One exception: check your auto-renewal date first. If a renewal notice deadline is approaching, send the required notice even while you are mid-transition, so you are not locked in for another term.
